Refund & Cancellation Policy
Scope of This Policy
This policy applies to all services provided by Zia Infotech, including but not limited to:
- Corporate Branding (Brand Identity Deisgn, Digital Design, Print Design, etc.)
- Website Development & Mobile App Development
- eCommerce Development
- Digital Marketing (SEO, SMM, PPC, Bulk SMS, WhatsApp, Email, Voice Call)
- Cloud Services (Hosting, Backup, DRaaS, SaaS, VDI)
Refund Eligibility by Service Category
1. Corporate Branding Services
Refunds are not available once initial drafts or designs have been delivered. This includes:
- Brand Identity Design
- Digital Design
- Print Design
Refund Exceptions:
- If work has not commenced and cancellation is requested within 24 hours, a 75% refund is eligible (25% processing & consultation fee).
2. Website, eCommerce & App Development
These are milestone-based services. Refunds depend on progress:
- Before Work Begins: 90% refund (10% deducted for resource allocation).
- After Design Phase: 50% refund if development hasn’t started.
- After Development Phase: No refund applicable.
Change of Scope: Any shift in scope is subject to re-estimation. Extra fees apply.
3. Digital Marketing Services
Digital campaigns, once launched, are considered consumed. This includes:
- SEO, SEM, SMM
- PPC Ads
- Bulk SMS, WhatsApp Marketing, Voice Calls
- Email Marketing, IVR
Monthly Packages:
- Cancellable at any time with 7 days’ written notice.
- Refunds issued only if no campaigns were launched during the billing cycle (deducting admin fees).
4. Cloud & Hosting Services
Hosting, backup, cloud storage, and SaaS-based services are non-refundable after provisioning:
- Cloud Hosting / VPS / Dedicated Servers
- SaaS Applications (Microsoft 365, Zoho Apps, GWS)
- DRaaS / BaaS / VDI solutions
- Cloud Migration & Support Services
Prepaid Credits (Bulk SMS, Email, WhatsApp):
Non-refundable after account setup or bulk credit delivery.
Subscription & Renewal Cancellation
- Monthly or yearly auto-renewal services must be cancelled before the billing cycle renews.
- Zia Infotech does not store payment credentials; clients are responsible for cancelling auto-debits with their payment provider.
Cancellation Request Process
To initiate a cancellation:
- Email support@ziainfotech.com with your invoice number, registered email, and reason for cancellation.
- Our support team will acknowledge the request within 24–48 business hours.
- Eligible refunds (if applicable) are processed within 7–14 working days.
Mode of Refund
- Refunds will be processed to the original payment method (Bank/UPI) used during the transaction.
- For UPI/QR transactions via Payment Options, bank details must be shared by the client.
Administrative & Processing Charges
All refunds are subject to:
- 10–25% administrative charge depending on service
- GST or applicable tax deductions (if already paid to the govt)
- Payment Gateway fees (up to 3%) will be deducted before refund is made.
- Third-party software or API license fees are non-refundable
Non-Refundable Situations
- Services already delivered or marked complete
- Client fails to respond for more than 30 days (project considered closed)
- Breach of terms or misuse of services (as per Terms & Conditions)
Dispute Resolution
If a client is dissatisfied, we request the opportunity to address and resolve the issue first. Refund disputes must follow the procedure stated here before approaching external authorities.
All legal matters are subject to the jurisdiction of Jaipur, Rajasthan.
